    The protection and security of your data is an important concern for us, a&o Hostels GmbH & Co. KG, which we take into account in all our business processes. In this data protection declaration we would therefore like to provide you with an overview of the data protection-relevant aspects of our application procedure.

    2. What sources and data does a&o Hostels use?

    We process personal data that we receive from you as part of your application. This is registration data for your user account and all documents uploaded by you for your application (e.g. CVs, certificates, proofs).


    3. For what purposes and on what legal basis are the data processed?

    3.1. To Fulfil contractual obligations

    The processing of personal data (Art. 4 No. 2 BDSG) is subject to a decision regarding the possible future establishment of an employment relationship, taking into account Art. 88 EU-DSGVO and § 26 BDSG.
    The purpose of the processing depends primarily on the requirements of the possible establishment of an employment relationship (selection, qualification, selected position, etc.).
    When your data is transferred, it is automatically encrypted. The precautions for data security correspond to the current state of the art.


    3.2 As part of the weighing of interests

    If necessary, we also process your data to safeguard our legitimate interest or the legitimate interests of third parties. For example

    To uncover criminal offences, your personal data may only be processed if actual evidence to be documented substantiates the suspicion that you have committed a criminal offence within the scope of the application, that the processing is necessary for uncovering and that your legitimate interest in the exclusion of the processing does not predominate, in particular that its nature and extent are not disproportionate with regard to the cause.


    3.3 Based on your consent

    If you have given us your consent to process personal data for certain purposes (e.g. to store your data for a longer period of time in order to address future interesting job offers for you), the legality of this processing is given on the basis of your consent. Your consent can be revoked at any time. Please note that the revocation will only take effect in the future. Processing that took place before the revocation is not affected.


    3.4 Due to legal requirements

    As a company, we are also subject to various legal obligations, including legal requirements (e.g. German Banking Act, Money Laundering Act, Securities Trading Act, Tax Acts) and regulatory requirements (e.g. European Central Bank, European Savings Bank Supervisory Authority, Deutsche Bundesbank and Federal Financial Supervisory Authority). The purposes of processing include, among other things, measures for identity and age verification, fraud and money laundering prevention, compliance with control and reporting obligations under tax law, and the assessment and management of risks.


    4. Who receives my data?

    If you have applied for a specific position, your data will only be made available to the relevant department and personnel department. If you take advantage of the opportunity offered by us to submit an unsolicited application (e.g. for a specific area in IT), your data will first be viewed by the responsible personnel department and then assigned to the relevant job advertisements and responsible managers of these positions.
    The Haufe-Gruppe company based in Freiburg im Breisgau (Baden-Württemberg) operates the applicant management system for a&o Hostels GmbH & Co. KG. Contractual agreements (order processing) and audits (on-site inspections, security checks, penetration tests, etc.) ensure that the relevant data protection regulations as well as the state-of-the-art data security regulations are adhered to.
    Other data recipients may be those for whom you have given us your consent for data transmission.


    5. How long will my data be stored?

    If necessary, we process and store your personal data for the duration of the application process.
    Your application and the answers and information given during the application phase will be stored together with your name for six months after the end of the application process. The application process ends when we have sent you a rejection or promise of the position applied for. Your data will be deleted immediately after the expiry of the retention period. The results will then only be stored in anonymous form, i.e. without personal data, for statistical analysis. This statistical data record does not allow any conclusions to be drawn about your person.


    6. Are data transferred to a third country or to an international organisation?

    The company Haufe-Gruppe is entitled to transfer the data to subsidiaries in third countries in compliance with the guidelines of the DSGVO.


    7 What data protection rights do I have?

    Every data subject has the right to information on the processing of his or her personal data, the right to correction, the right to deletion, the right to limitation of processing, the right to object to processing and the right to data transfer within the framework of the statutory provisions. In addition, there is a right of appeal to the competent data protection supervisory authority.
    The right of objection may arise from your particular situation. You may object at any time to the processing of personal data concerning you which is carried out on the basis of data processing based on a weighing of interests (see point 3.2). If we do not find any compelling reasons outweighing your objection, we will cease processing.
    You have the right to revoke your consent (see point 3.3) at any time. The consequence of this is that we will no longer continue the data processing based on this consent in the future.


    The revocation of the consent does not affect the legality of the processing carried out on the basis of the consent up to the revocation.

    8. Am I obliged to provide data?

    As part of your application, you only have to provide the personal data required for the application process. Without this data, we will generally not be able to carry out the application process. Should you send us your applicant data by e-mail, we reserve the right to record them in our applicant management system for reasons of efficient processing of the applications we receive.


    9. To what extent is there automated decision-making in individual cases?

    We do not use automated processing to make a decision about the establishment and execution of your employment relationship. For the pre-selection of applicants for internships and working student jobs in our company, we automatically check the basic requirements (existence of a matriculation certificate, residence and work permit for EU foreigners, duration of studies, average grade, duration of internship). The result of the automated check can be changed by the recruiter in charge.


    10. To what extent is my data used for profile formation (scoring)?

    Your data will not be used for profiling or scoring as part of the application process.
